What is a Wedding Planner?

A wedding planner is a hired professional who understands and has an advanced knowledge of what is required for planning a wedding, including the many details required on the big day. A planner is resourceful, organized, and detail-oriented; they can offer creative ideas to style a personalize a wedding.

Zayden Cole Event Planning is available to aid the Bride and Groom in any area they require assistance. We are a resource of information, allowing our Brides and Grooms to be as involved as they wish, in the planning process. We can plan every detail from start to finish or step back to offer moral support, as needed. Hiring a wedding planner allows our Bride and Groom to enjoy their wedding day, backed with the knowledge that they have a professional taking care of everything for them.

When is a good time to engage a wedding planner?

Ideally, you will hire your wedding planner immediately after your engagement, so you may begin working with them right away. Most Brides and Grooms contact us approximately 9 - 12 months, prior to their selected wedding date, however, Zayden Cole Event Planning has designed comprehensive services that can commence at any point, prior to your wedding day.

Do you have a showroom?

Yes. Our showroom is located in Caledon & is open by appointment only, from 10 am to 4 pm. Please call our offices at 905-417-7789 to book an appointment time with one of our coordinators. Please let us know which items/services are of interest to you.

Why can’t my mom or best friend help me plan my wedding?

Planning a wedding can be stressful, especially when the people doing it are involved emotionally. Friends and family want everything to be perfect for you, or what they think is perfect for you. This could lead to potential conflicts and hurt feelings. Even though friends and family members have very good intentions, they deserve and want to enjoy the wedding with you, rather than spending the day working. Most couples find planning a wedding has a steep learning curve. For Zayden Cole Event Planning, it is what we do everyday. As a professional planning service, we coordinate events everyday and know the ins and outs of planning. We support your dreams with a high level of service. We are hired to watch over all the details and make sure your wedding day is worry and stress free – for everyone.

How do I obtain my wedding license?

A license to marry from the Registry General of the Province of Ontario must be obtained through a Municipal Office (e.g. Toronto City Hall, Main Floor; or the Clerk’s Office in your local Municipal Center).

The license should be submitted to the Officiant before the time of the rehearsal/ marriage. It is recommended that marriage licenses be acquired as soon as possible to avoid unforeseen circumstances including extended processing time and government strikes.

What information should I provide the wedding planner?

During your initial consultation, we suggest providing the following to your planner:

  • an estimated budget

  • an estimated number of guests

  • a desired wedding date, month, or season

  • a general idea of your wedding style (grand, traditional, modest)

Why can’t I do all the planning myself?

Of course, you can do the planning yourself and that is part of the fun! It can also be a hassle: checking out many sources for each supplier category, making sure all the details are in place, worrying about whether you’re getting the best deal and whether everything will turn out alright. Zayden Cole Event Planning has the training and experience to make it all come together, while you relax and enjoy the romance and festivities of your wedding. Together with our clients, we will prepare and coordinate the details of your wedding, assisting you through the final process. We allow our clients to take as big a role as they wish, in their wedding planning, while aiding them with the small details to make the day unforgettable.

What should I look for when choosing my Wedding Planner?

Based on your needs, you should identify a wedding planner who can offer you a wide range of services, and is flexible to handle as much or as little as you wish them to. Ideally, your wedding planner will provide you with ample ideas and guidance for your wedding. Most importantly, the planner you select must be someone that you feel comfortable and confident with, someone you can develop a connection with.

What happens during our consultation?

Zayden Cole Event Planning offers all prospective clients a complimentary one-hour consultation. When we meet with one another, we will provide you with an overview of our company, who we are, how we work and what you can expect from us. We will discuss how we approach planning along with our package options and pricing. We will then discuss your wedding, asking questions about what you are looking for and your expectations of your wedding planner. Consultations are for your benefit and are most effective when they are highly interactive. We encourage you to ask as many questions as you wish! Under no circumstances, will we pressure you to book on the spot. We wish to leave you with a favorable impression of our company, feeling comfortable and confident in your decision to work with us. My reception venue has a Wedding Co-ordinator; do I still need to hire a Wedding Planner?

A venue coordinator works for the venue; their job is to answer your questions about the venue and assist you with your venue layout. They are someone you may contact if you need extra reassurance about the details of your wedding venue, however, their loyalty is to the venue. Their job does not include all the other details that go into planning your wedding.

A wedding planner, on the other hand, is involved from the very beginning of the planning process. Your wedding planner will handle each detail of your wedding, from start to finish – everything from finding a venue, appropriate suppliers and to actually be there on your wedding day, ensuring everything runs smoothly and as planned. Having a wedding planner reduces the natural stress of planning a wedding so you can enjoy the entire process, and have complete confidence that all the details are taken care of for you.

COVID-19 has impacted the entire world and changed the way many of us do business. It is now more important than ever that we look after one another to keep those we all hold closest to us safe. Everyone at Zayden Cole, including our vendors and partners, will be following strict protective measures to limit the spread of disease while still creating a truly breathtaking event worth remembering by all in attendance.

How are we doing this?

Using environmentally friendly sanitizer on all furniture & décor before delivery

Training all staff on how to properly wear & handle their personal protective equipment

Ensuring all staff wear their personal protective equipment when working with our clients in person and social distancing when possible

Checking staff temperature daily & providing proper facilities for hand washing

As Public Health guidelines change we will update policies accordingly
